Advantage of VoIP Versus Land Lines

Unified Technology Solutions installs and maintains VoIP phone systems for companies from Indian River County to surrounding counties. VoIP gives companies the flexibility to have multiple lines without the hassle of installing physical phone lines. We have long been proponents of this type of phone system vs the standard land lines from that big company who shall not be named.

What are some reasons why VoIp have become a popular alternative to old fashioned PBX and Landlines?

“Why Choose VoIP Phone Service for Your Business?

Many VoIP services have the same quality and reliability you expect from your phone company, but they cost less and offer more features. VoIP services often have better international rates and can be used on cordless phones, computers, smartphones or tablets so you can reach clients and coworkers. Plus, you don’t have to worry about dropped calls. VoIP services give you a lot of flexibility: You can direct your voicemails to your email, use a mobile app that lets you use your smartphone like your office phone, plus you can forward calls from your office to any device, including a desktop or laptop computer…..”

“VoIP vs. PBX Systems

PBX, private branch exchange, systems are traditional business phone systems. These analog exchanges consist of physical equipment hosted in your office that connects your internal lines to external phone lines. PBX is a reliable phone system for your office, but the costs are much greater than a VoIP phone service’s costs. VoIP services use software and are typically hosted in the cloud, so there is usually no hardware to purchase, install or maintain.

While VoIP systems are typically just as reliable as PBX systems, they rely on your internet connection. That means if you ever have a power outage that leaves you without internet, your phone lines will also be down. However, you can still access your VoIP account from a mobile device, if it has a data plan.

Which VoIP Phone System is Best for You?

When choosing the best VoIP service for your business, consider your budget, the size and type of your company, and what your calling needs are. Maybe add-on features will be the determining factor in your decision. For example, some VoIP services provide video conferencing in addition to phone capabilities, which is useful if you have multiple offices or remote employees.”  From Business.com   BY CHAD BROOKS

Should you have a case where your company is growing by leaps and bounds, but you don’t have office space for all the new hires, then a VoIp system will be invaluable. You can set the system up so that employees working remotely will appear to be sitting right there in your office building. In the case where you have plenty of room, but the nature of your work keeps certain people out in the field most of the time, then the ability to interface with tablets and smart phones is one your company will need.

Still not sure you want to cut the cord? Give us a call and we can have a chat about the right option for your business.

Adding Power to Google Account

on October 27, 2017 No comments

If you are like us and you have a busy office, sometimes any little thing we can do to make our systems integrate with each other work for us is a welcome upgrade. It will also be a blessing for some of our current customers. If you are already using DocuSign, Trello, and Quickbooks, it’s a nice shortcut to make a day’s workload a little lighter.  The Quickbooks add on puts a View invoice box attached to a group of all the invoices gmails you recently sent out. Keeping everything in one place. Try it out, see if you like it.

From Google Tech news:

Google is launching third-party add-ons for Gmail today. These native extensions will allow you to bring the power of services like Asana, DocuSign, Trello, Wrike and others directly to your inbox — no matter whether you are an enterprise or individual user.

If you’ve been following along, this announcement doesn’t come as a total surprise. The company first announced at its I/O developer conference in March that this feature was coming. At the time, though, this was only a developer preview; since then, Google has worked with a number of partners to bring a first set of native extensions to Gmail.

This first set of partners includes Asana, Dialpad, DocuSign (coming soon), Hire (by Google), Intuit QuickBooks, ProsperWorks, RingCentral, Smartsheet, Streak, Trello and Wrike. Unsurprisingly, the focus here is on productivity services that, for the most part, already include some connection to email. The add-ons live in the right sidepane of Gmail (though sadly they are not available in Inbox by Gmail, Google’s other email client).

Asana co-founder Justin Rosenstein told me that this will allow his customers to more easily bring tasks from external emails to the work-tracking service. It also will allow Asana users to see more details about tasks that appear in emails they receive directly from Asana or from other users.

The same is true for most of the other integrations, whether that’s the Trello add-on allowing you to turn emails into actionable tasks or the RingCentral add-on allowing you to make outbound calls and view and send SMS messages from your inbox.

What’s nice is that these add-ons also work in the mobile Gmail app on Android. As for iOS support, a Google spokesperson tells me the company is “working with Apple to bring Gmail Add-ons to iOS users.” It’s unclear when exactly this will happen, though.

As somebody who heavily relies on Trello’s Chrome-based plugin for Gmail to stay semi-sane, the idea of a native integration with Gmail definitely sounds like it’ll make life easier — especially because of this mobile integration.

You can now install these integrations from the G Suite Marketplace; if you are a developer, you can also start creating add-ons for your own organization. These Gmail add-ons join similar tools for Google Docs and Sheets that are already available in the Marketplace.”

Setting Up Your Business Network

on September 30, 2017 No comments

Network Diagram, it solutions for companies, vero beach IT support for networks, VOIP support for companies, non-profit it support,

At Unified Technology Solutions we work with companies of all sizes. In each situation, there are differing needs for computing power, servers and phone systems, but what is common to each of them is the need for a plan and some forethought. Too many times we are brought in after the decisions have been made, and we could have helped these companies come up with a better plan.

Before you finish your business plan, or your plan for expansion, it is a wise idea to call in some expert help to design a network to meet your computing needs. People are the most important element in any company, followed closely by the tools they will use to keep that company running efficiently. The better the plan, the more efficient the company can be.

While there are companies who invest in laptops for their employees, unless you have people who often work in the field, a better choice maybe desktop systems. It’s easier to keep data secure when the system stays in the office.Desktops stand up better to wear and tear, plus there are desktops that are easily upgraded when more computing power is required.  Depending upon the type of work you do, having more than one monitor to enable your people to have multiple screens available could be important.

Operating systems and servers are also up there in importance. In fact, when you are running a network, I would venture to say it’s of primary importance,. The server software has to be able to efficiently run the entire network without slowing people down, and it may be that you need more than one server. It also eliminates the need to the same data to be stored on multiple computers. The server can be set up so that collaboration between different departments is possible. It can also be that certain files will not be available to everyone, such as employees personal data and payroll, or customer files. Cloud storage and backup is another option, depending upon how you feel about keeping your data somewhere other than on site. Sometimes a combination of on-site servers with cloud backup is the best way to go.

Cloud Support

There is also the question of how to integrate mobile devices such as tablets and cell phones into your network. Tablets and cell phones enable your people to communicate with you while they are out on the job. There are so many useful apps these days which will run on tablets which can allow your people to do things like estimates, plans and drawings right at the customer site. These are great tools, but along with these tools comes the need for better security and software to properly interface the devices in with your network.

We are happy to work alongside you to make certain you have the right tools for your current workload, but also have a system that can grow as your company grows.

Install and maintain VoIp telephones, landlines are going away, your loca VoIP installation company in vero beach and sebastian

Landlines are going away….

Do you have a landline at your house? Here in Vero Beach, there are people who keep their landline, yet they rarely use it.  It’s just  easier and more efficient to just use their cell. In most cases e people maintain a landline out of habit. Don’t be mistled as I talk about landlines, I am not addressing the phone you have on your Cable Provider’s package plan. That is a VoIp phone connections. Most likely Comcast is  your telephone line provider, and there is NO line, it’s all wireless.

What is This VoIP and Why Should I Care?

on March 18, 2017 No comments

Phone Keypad & HandsetVoIP means Voice Over Internet Protocol. Back in the late 1990’s companies like Magic Jack were some of the pioneers in the VoIP industry when they began advertising their services as one way to move from expensive landlines. In those days, the sound quality of VoIP calls was poor, and it wasn’t always reliable, but things have really changed since then.

With advances in technology and software, VoIP is virtually indistinguishable from a landline, and the features it offers for business are so effective in cost savings and benefits that many companies are now switching all their phone services to VoIP.

At Unified Technology Solutions, we install and maintain VoIP systems for companies from small to large. They love the flexibility of their VoIP systems and the elimination of costly phone bills is also a great benefit for those who are working on expanding their businesses. Money which is not spent on expensive phone systems can be put to good use elsewhere in the company.

Besides saving on expensive phone bills and long distance calling plans, VoIP allows employees and customers to attend virtual meetings anywhere in the world. All you need is access to the internet, a computer or tablet, and even if you don’t have direct internet access, your smart phone can serve as your connection.

Unified Technology Solutions has a VoIP system our company personally recommends. The system we offer is Kerio Operator Voice over IP system. It includes call forwarding, find/follow me, paging and auto-attendant among its features.

The Kerio system offers you the convenience of taking your office phone with you no matter where you are. Customers call the office, and even if you’re out, no one knows. You answer as if you are still sitting at your desk. It’s as simple as that. When you have the need for more phones, there is none of the muss and fuss of adding a traditional landline.

Depending upon your needs Unified Technology Solutions can take some time to discuss your company’s goals and show you how our systems can meet the needs of your company.

So, we explained what VoIP is and how its different from a land line, but why should you care? Because the land line business is not as profitable as it once was. Sooner or later its probably going the way of the old fashioned switchboard. It’s better to be prepared when that time comes.
