When you start with a new IT provider, there is more to do than install software on your computers. Your provider needs to learn how your business works, obtain the administrator credentials for the systems it will manage, and identify which problems need attention first. A clear handoff helps your new team support you sooner.

At Unified Technology Solutions (UTS), onboarding is how we build a working picture of your environment and begin supporting it. The process typically takes two to six weeks, depending on the size and complexity of your business. Your support starts while onboarding is underway, under the terms of your selected service plan.

What information does UTS need first?

We start by identifying your decision-makers, day-to-day contacts, known problems, and the systems your employees depend on. We ask for available network and server documentation, administrator access, software and licensing information, backup details, and contacts for your internet provider, phone provider, and other technology vendors. Our small business IT documentation checklist explains which records should be available for a successful handoff.

If your previous IT provider managed these systems, we may need its help transferring documentation or access. Your business remains the owner of its accounts and credentials. If records are missing, we work through what can be verified and identify what access still needs to be recovered. You may need to authorize vendor contact or cover a third-party fee to restore access.

What do we check and document?

UnifiedTechs inventories the computers, servers, network equipment, and key software we are expected to support. We document how your network is arranged, who has administrative access, which vendors provide important services, and where your business data and backups are kept. We also deploy the management and monitoring tools needed for your agreed services.

This work helps our helpdesk troubleshoot with context instead of asking you to explain your entire network during every call. It can also uncover systems that were never documented, equipment nearing replacement, or a service you did not realize still had a separate contract.

How are problems and security gaps handled?

As we gain visibility into your environment, we review recurring issues and the health of your managed devices. Depending on your setup, the review can include missing updates, endpoint protection, user access, multi-factor authentication, firewall settings, and the status of existing backups. Reviewing your backup is different from promising that a restore has been tested or that backup service is included in your plan.

We prioritize findings that could affect your security or daily operations and discuss next steps with you. Some issues can be addressed within the normal managed scope; others may need new hardware, licensing, a separately priced backup service, or a quoted project. Your agreement determines what is included. Work does not become an extra charge simply because someone calls it a project.

When does the helpdesk take over?

You do not have to wait for every onboarding item to finish before getting support. You and your staff can call or email the UTS helpdesk with routine or urgent requests so the work can be tracked. An automatic ticket confirmation lets you know we received your request, gives you a way to attach additional information, and lets you know a technician will reach out soon.

The goal is to give you a supported environment with clearer documentation, known contacts, and an agreed list of issues to tackle next. Onboarding begins your ongoing managed IT support; it does not mean every inherited problem can be fixed in a few weeks.
