Managed IT services give your business an IT team that takes ongoing responsibility for your technology. You still have someone to contact when a computer stops working, but the relationship also covers the work your systems need between support requests.

That includes maintaining your computers and network, managing security, keeping track of your equipment and accounts, and helping you plan changes before they become urgent. The exact services and support labor included depend on your agreement.

If you are not sure whether your business has reached that point, see when it makes sense to outsource IT support.

What does “managed” actually mean?

If you only call for IT help when something breaks, your technology may go months without anyone checking its condition. A computer that appears to work can still have missing updates, an expired security subscription, or an account that should have been disabled. See what changes when you move beyond repair-only IT support for a closer look at the responsibilities involved.

With managed IT services, your provider has an ongoing role in looking after your systems. You should know who is responsible for routine maintenance, who reviews alerts, and who follows up when something needs attention.

For example, a monitoring alert might show that your server is running low on storage. Your IT team can investigate and plan the next step before staff start reporting that they cannot save files. Monitoring does not prevent every failure, but it gives your provider information to act on instead of waiting for you to discover the problem.

What happens between support requests?

Much of the work is easy to miss because it happens while you are busy running your business. Depending on your managed services agreement, that work can include:

  • Maintaining your systems. Tracking updates, reviewing device health, and addressing recurring problems rather than repeatedly fixing the same symptoms.
  • Managing your security. Maintaining the cybersecurity protections in your plan and reviewing issues that need attention.
  • Keeping accounts current. Managing access when employees join, change roles, or leave, including your Microsoft 365 environment.
  • Maintaining documentation. Keeping useful records of your equipment, network, licenses, and vendors so support does not depend on one person’s memory.
  • Planning ahead. Helping you budget for aging equipment, software changes, and the technology needs of an additional office or growing team.

You should also have a clear backup and recovery plan. Confirm who monitors your backups, how recovery is tested, and what systems and data are covered. Backup services and recovery work need to be defined in your agreement; they should never be assumed just because you have a managed IT provider.

Is managed IT the same as unlimited support?

No. “Managed” describes the ongoing responsibility for your IT. It does not, by itself, tell you which labor or expenses are included in your monthly fee.

Your plan may include management and security with support labor billed as needed, remote support with onsite work billed separately, or both remote and onsite support within an agreed scope. Equipment, software licenses, backup services, and after-hours work may have separate costs.

At Unified Technology Solutions, we serve as your primary IT department across our managed service plans. Your choice of plan changes the support labor included, rather than whether we have an ongoing role in managing your technology. Routine support is provided during business hours, with after-hours emergency support available separately.

How can you tell whether your IT is being managed?

Ask what your provider is doing when you have no open support tickets. You should be able to discuss the condition of your equipment, outstanding risks, upcoming renewals, and changes you need to plan for.

You also need to make time for those conversations. A review meeting gives you a chance to explain what is changing in your business and understand recommendations before you have to make a decision during an outage.
